Event Privacy Notice
Last updated: 1 July 2026. This notice explains how we handle your personal data for the Innovation Summit on 27 October 2026 in Antwerp. It supplements the general Barry Callebaut Privacy & Cookie Policy.
Who is responsible for your data
The data controller is Barry Callebaut, acting through the Innovation Summit organising team. What data we collect
Depending on how you respond to your invitation, we may hold:
- Identity & contact — your name, work email, company and job title. For invited guests this comes from the invitation we already hold; we do not ask you to re-enter it.
- Travel details — arrival/departure dates, times, and transport, where you provide them so we can arrange logistics and transfers.
- Accommodation details — hotel dates and room preferences.
- Health-related information (optional) — dietary requirements, allergies and accessibility needs. This is special-category data and is only collected if you give separate, explicit consent.
Why we use it, and our legal basis
- Registering and hosting you at the event — managing your RSVP, travel, accommodation and on-site check-in. Legal basis: our legitimate interest in organising the event and acting on your registration request.
- Dietary, allergy and accessibility needs — to cater to you safely and appropriately. Legal basis: your explicit consent (Article 9(2)(a) GDPR). You can decline and still attend; you can withdraw at any time.
- Event communications — confirmations, logistics updates and know-before-you-go information. Legal basis: legitimate interest in keeping registered guests informed.
Where your data is stored
The event database is hosted in the European Union (Frankfurt, Germany). Where a service provider processes limited data outside the European Economic Area, this is covered by appropriate safeguards such as the European Commission's Standard Contractual Clauses.
How long we keep it
We keep your registration data only for as long as needed to run the event. All personal data, including any health-related information, is deleted within 30 days after the Summit (27 October 2026) — by the end of November 2026 at the latest. We may retain a minimal, anonymised attendance count for planning future events, which does not identify you.
Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you, and receive a copy;
- have inaccurate data corrected, and incomplete data completed;
- have your data erased;
- restrict or object to how we use it;
- data portability, where applicable;
- withdraw consent for health-related data at any time — use the management link in your confirmation email, or email us. Withdrawing does not affect processing carried out before you withdrew.

You also have the right to lodge a complaint with a supervisory authority — in Belgium, the Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), or the authority in your country of residence.
